How to contact Ramapo Catering
When you have a catered event in mind, please contact us as soon as possible. Even if you are not yet sure of such details as the exact event date, event location and number of guests that will be in attendance, it’s a good idea to touch base with us as early on in the process as possible.

Some catering arrangements can be made by phone or email; other catering arrangements require an in-person appointment with one of our event planning specialists. It’s easy to get in touch with Ramapo Catering regarding your catering needs. Here are the options:

Event Location Reservation
You must make arrangements to secure a location for your event. Wherever your event will be taking place on campus, you will need to officially “reserve” the space in order for us to be permitted to serve you in this location. To reserve a room for an event, please contact the Office of Events and Conferences at 201-684-7590. When reserving a location please allow time for set-ups and clean-ups.

Time will vary depending on each event, the type of service requested and on the number of guests. Also, please consider an alternative rain site for any event that is held outdoors. It is most important that the proper arrangements are made by you, the host of the catered event, to ensure that your event will commence and end on time.

Event Tables, Chairs & Other Equipment
You must make arrangements to secure tables, chairs, trash cans and other equipment you may need for your event. Please contact the Office of Events and Conferences at 201-684-7590 to make these arrangements. Any questions regarding room set-up or the type and amount of tables which may be needed for your event due to your menu selection and guest count, can be directed to the Catering Department at 201-684-7772, or Email at

Event Confirmation & Guarantees
No less than (3) business days from the scheduled catered event (and not including your event date), you must sign a Catering Event Order/Banquet Event Order. You will also be asked to provide us with a “final” number of guests that will attend your event; the “estimated” number will be used if you don’t know the “final” number. This document will outline the terms of your agreement with our Catering Office and include all event details and requirements, including time, date, location, menu selections, number of attendees, professional services, equipment, and staffing. If you do not provide us with a final number, we use the estimated number. Billing is based on the final guaranteed number or the amount served, whichever is greater.

Event Changes & Cancellations
When the event is booked, you will be asked for an estimated guest count for planning purposes. This should be your highest estimated count. A final guest count and any event details may be adjusted until (3) business days prior to the event, not including your event date. The guest count may increase during those (3) business days, but it cannot decrease. If we are notified of any event changes after this deadline, you will be responsible for a $20.00 surcharge or expenses already incurred by the Catering Department, whichever is greater. If your event is cancelled, you will be responsible for contacting the Catering Department and cancelling the event. You will be liable for 50% payment due on any event that is cancelled within (5) business days of your event date. If Ramapo College of New Jersey is closed due to inclement weather, all catered events will be automatically cancelled.

Event Payment
All catered events must have a secured payment prior to the execution of your event. At the time of booking, you must indicate the method of payment. Accepted forms of payment include Visa, Master Card, Discover Card, cash, check, department accounts and foundation accounts. There is no sales tax on any event charged to a department or foundation account. Ramapo College Catering can not extend credit to any college department or outside affiliate.

If your group is not college related:

  • A deposit of 75% is required two weeks prior to your scheduled event with the balance due on the day of the event.
  • The current New Jersey sales tax will be added to your invoice

If you are a tax-exempt organization:

  • You must submit a copy of your tax exemption certificate prior to the date of your scheduled event.

Delivery Fees/Late and Minimum Charges
There is no delivery fee for catering services throughout campus with the following exception: There is a minimum charge of $25.00 for all catered orders. Arrangements for orders less than the minimum can be made if they are picked up during hours of operation or subject to a delivery charge of $15.00. A late charge of $20.00 will be charged to any event booked with less than (3) business days notice. A $20.00 surcharge will be charged for any changes made once the event has been confirmed, under those (3) business days.

Service Staff and Attendants
To ensure that your event is a success, catering staff will be provided for all china served meals and some buffets. Continental breakfasts, breaks, some buffets and receptions are priced for self-service. Catering attendants are available at an additional charge.

The charge for each staff member is: Attendants/Waitstaff $115.00 per staff
(5 hour service/including set up and clean up)

Catering Equipment
As the host of the catered event, you are responsible for the equipment we have provided for the service of your catered event. The cost to replace any missing or damaged catering equipment or supplies will be charged to your account. Some events may require specialty equipment and very large events may need equipment to be rented. Ramapo Catering can provide the rental of all equipment at an additional charge.

China Charges
We provide high quality plastic products, Chinet and paper serviceware unless otherwise requested. We offer china service for any event at an additional charge.

Full Meal Service and Silverware $2.00 per guest
Coffee or Beverage China Service $1.00 per guest
Reception China and Silverware $1.00 per guest
Eco-friendly $2.00 per guest

Floral Charges
We will be happy to order, receive, and handle floral arrangements for you. For decorative requests, an additional fee will be determined in accordance with your specific needs.

Linens and Skirting
We provide standard linens for food and beverage tables at no charge. Standard linen for guest tables are included only for full service buffets and served meals. Linen placed on guest tables for receptions, breaks, meeting tables and boxed lunches are at an additional cost for each tablecloth. The same applies to registration tables, name tags, head tables, and any additional table that is not directly used for setup. The standard linen colors are white, ivory and burgundy. Other colors may be available with advance notice at an additional charge. Skirting can be done on any table that does not exceed one inch in thickness. We can also provide napkins and specialty linen. These are available upon request for an additional charge. Please contact Ramapo Catering to view a color chart and for a list of these charges.

Food Removal Policy
Due to health regulations, it is the policy of Ramapo Catering Operations that excess food items from events cannot be removed from the event site. Items purchased for pick up should be properly stored prior to the event and removed and disposed of by the host of the event.

Alcohol Policy
An alcohol permit is required and must be obtained prior to your event by contacting the Office of Events and Conferences . Ramapo Catering does not have a license to sell alcohol, however you may purchase your own. All alcoholic beverages must be served by our personnel and consumed in designated areas. Proof of age will be required. Ramapo Catering reserves the right to refuse service of alcoholic beverages to any individual.

Alcohol Service/Policy
A bar setup at a dinner or reception is $1.35 per person/guest. All necessary bar items, except the alcohol, are provided with this charge, including nonalcoholic beverages, fruit garnish, ice, napkins and plastic cups. An additional charge for glasses will apply. We recommend at least one bartender for every 75 -100 guests for Beer and Wine service.

The charge for each bartender is:
$115.00 per bartender (5 hour service including set up and clean up)
